An opportunity is available for the post of Administrative Assistant in the Dean’s Office at the Roseau campus who will work with students, faculty and academic administration to contribute to an enhanced student experience and success.

I. Position Purpose

The Administrative Assistant for Academics will develop a thorough knowledge of ASU’s academic programs, student learning support services, and school processes. The successful candidate will assist with managing the Dean’s office in relation to monitoring and enhancing student success in our Nursing and MD educational programmes.

II. Duties and Responsibilities

PERFORM ADMINISTRATIVE DUTIES TO SUPPORT ACADEMIC OFFICES: by responding to inquiries from students and faculty, maintain standards of confidentiality and privacy in accordance with ASU policies on student information and records, and any other protected documentation. This position will assist in managing the course schedules and materials, curriculum and assessment and other processes and functions relevant to successful student learning outcomes. Other tasks may include creating reports and correspondence, updating program and assessment materials, scheduling meetings and events, preparing and maintaining meeting minutes.  

PROVIDE PROGRAMME SUPPORT: coordinate information within the university  Learning Management System (Canvas) and with the Assistant Registrar, the student assessment and grade reporting to the Promotions Committee; the student course evaluation process and generally maintaining and organizing course materials, academic documents, files, and records; service various committees and perform other job-related duties as assigned by the Deans of Academic and Student Affairs.

SUPPORT STUDENTS AND FACULTY TO ADVANCE STUDENT SUCCESS: by assisting with student registration and attendance monitoring; providing information for students regarding scheduling and advising; assisting students in finding appropriate resources to aid in their progress.

DEMONSTRATE PROFESSIONAL AND QUALITY CUSTOMER SERVICE: by demonstrating professionalism and quality customer service in accordance with the University’s values; maintain positive working relationships, and make decisions and solve problems. Maintain confidentiality, positive communication, accurate records, and an organized, safe working environment. Exhibit flexibility, willingness to learn, ability to change, and maintain current technology skills.  

III. Qualifications – Education, Experience, and Skills

  • Minimum of an Associate’s Degree in Office Administration, Education or related fields which ideally should including demonstrated experience with Learning Management Systems and data handling in programs such as Excel.
  • Applicants must be able to show excellent organizational, written and oral communication skills, and be proficient with Microsoft Office.
  • Previous experience in tertiary education and or student services are desirable assets but are not essential.
