TERMINAL CLERK / TYPIST (ON CONTRACT)
The Terminal Clerk / Typist (On Contract) supports the Country Manager by providing secretarial support services and general assistance required in the efficient execution of his/her responsibilities
RESPONSIBILITIES INCLUDE:
- Provides secretarial support by receiving and reviewing correspondence and taking action as directed; typing documents from drafts etc, for approval and signature; treating with visitors and callers to the Branch; responding to all applications on a timely basis and maintaining an applicant database.
- Filing electronically or otherwise all personnel related correspondence consistent with the branch’s requirements for ease of retrieval, accuracy etc.
- Facilitates meeting by undertaking all relevant prior arrangements; ensuring the preparation/ circulation of documents when appropriate; taking and transcribing minutes and circulating approved minutes among staff.
- Facilitates implementation of decisions taken at meetings by preparing action points arising of meetings and providing updates and reminders when necessary.
- Provides time management support by making appointments and maintaining an appointment log; synchronizing priorities and appointments with the Country Manager.
- Administers the office by sourcing and maintaining adequate supplies of stationary, equipment and materials needed for the efficient achieving of duties.
- Supports the manager by performing related duties that may become necessary from time to time.
- Liaising with clients and business associates of the Company in a professional manner.
- Provides support to the accounts section by sorting and dispatching credit invoices and statements and placing orders for the Service Station.
THE SUCCESSFUL CANDIDATE MUST IDEALLY POSSESS:
- Associate Degree in Business Management will be an asset.
- Five (5) ‘O’ Levels, including (General Proficiency) passes including Mathematics and English.
- Computer Literate.
- Interpersonal, communication and organizational skills.
- Confidentiality.
- Any other equivalent combination of qualification and experience.
